Practical information to new employees

Administrative and technical staff

Password and account

One of the secretaries will contact the system staff. For more information please look at http://www.daimi.au.dk/local/system/accessing-the-network

The hardware and software people are located in Hopper-0 towards the Ada building. The programmer on duty and be reached through mail to pvagt@daimi.au.dk or by phone 5699.

Mailing list

After a short while your mail address will be added to the official mailing lists for the various groups of employees. The mailing lists are autogenerated from a list maintained by Arne Jensen.

Key and an access card

You need an access card for the front doors outside office hours (i.e. before 8.30 a.m and after 4.00 p.m.) For further information please look at http://www.daimi.au.dk/~sertmann/Dok/falck_sys.htm (Danish version) To receive an access card, you fill out this form, have Hanne Friis Jensen, Informations office, to sign it, and deliver it to one of the caretakers in Hopper-042. The alarm system

Søren Ertmann, technical manager, maintains a web page (Danish version/English version) where you find all the information about the alarm system that you need.

Oracle Calendar

Oracle Calencar is a webcalendar to be used to create a meeting, invite people and resources i.e. meeting rooms, departmental car, multi media projector etc. All computers managed by staff@daimi.au.dk ought to have a Oracle Calendar client installed. Office supplies

You find office supplies (pencils, paper, slides, folders etc.) in Ada-131 as well as in Ada-116. If you have any questions or you do not find what you need, please contact Hanne Friis Jensen in the information office.

Copy machines

You find a copy machine in room Ada 116. You need an access code for the copy machines, please contact one of the secretaries.

Department car - Miss Daimi

Department of Computer Science is in possession of a department car - in everyday speech called "Miss Daimi". You book the car by inviting the resource in Oracle Calendar, see: http://calendar.au.dk/ Hanne Friis Jensen administers the car and hands out keys and petrol cards as well as the insurance policy when going abroad. Please inform Hanne Friis Jensen in good time if you are going abroad.

Parking

There is roofed bike parking at the end of the Hopper building. Cars and bikes can be parked in the basement between the Hopper and Wiener building - ramp at the end of the Wiener bygning. The basement parking is always locked. You open the port by entering your code on the card reader. When you exit the basement parking you find the card reader on the pillar just before the exit gate. The light is red until the card reader is activated. Please notice that the gate may also be activated from the other end. It is therefore very important that you respect the red light. Do NOT drive until the light is green.

Be aware that the free hight of the parking basement is only two meters meaning that for some cars an open backboard may cause problems just as some delivery vans will not be able to enter the parking basement.

Canteen, coffee room and slot machine

The canteen is on the second floor of the Vannevar Bush building. The operning hours are 9:30 AM to 3:00 PM. You also find a coffee room in the ground floor of the Ada building.

Vacation periods

It is the department's duty to administer the employees' vacation periods and vacation payments, in particular in connection with externally funded projects. It is the department's policy that everybody take vacation as follows:

It is also the department's policy that new employees as a minimum take any vacation for which they are entitled by a previous employer. Dispensation from the department's vacation policy must be approved by the project administrator who will then inform the Head of the department and the accountant of the project.

What to do when you have been sick

If you have been away from duty due to sickness you fill out an absence form and give it to Hanne Friis Jensen.

Telephones

Ole Østerby is responsible for the telephones at daimi. He is the one who allocates and distributes the telephones. He is to be informed when a telephone is moved from one office to an other in order to be able to update the telephone database.

The telephone system is based on IP telephony via our network. The ordinary telephone is a wire-less Kirk IP/Dect telephone which can be used all over the IT-parken. Look here to see the manual.

In the western end of each corridor you will find an analogue phone. These phones can only be used for local calls and for alarms if the IT telephones do not work.
